Welcome to Work-Study Employment!

Work-Study is an opportunity for on-campus employment. Most students find work-study to be a convenient way to earn money while going to school.

Students often list their work-study experiences on their resume and have the opportunity to use their supervisor as a reference. Keep in mind that all work-study earnings can be excluded from your income on your next year’s FAFSA- so this type of income will not count against you on the FAFSA.

Work-Study is need based, so you must have need and have been awarded work-study on your financial aid award notification in order to be eligible. Work-study comes from either federal or state funding, depending on residency. Students may work beginning the first day of the semester to the last day of the semester. We do not employ work-study students over the summer.

Students not eligible for work-study may find on or off-campus employment that is not considered part of a financial aid package.

How do I get a job?

To find a job, apply online through our “Job Postings” link. Once you have been hired, your supervisor will complete a Student Employment Agreement form, which you will then be emailed to electronically sign.

If you are a returning student wanting to work for the same supervisor, or a supervisor has already approached you about working for them, there is no need to apply online. Just simply have your supervisor complete the Student Employment Agreement form for the upcoming year.

 

What do I do once I'm hired for a job?

Once you, the student have been hired for a job, your supervisor would create a Student Employment Agreement form for you as your contract. A new student employment agreement form must be filled out each year.

Once your supervisor has created and signed the Student Employment Agreement form, you the student will be emailed to sign it to finish the process.

Once you the student sign this form it will be routed electronically to the Financial Aid Office to set up your job and process any payroll documents.

You MAY NOT begin working until you have gotten an email from the Financial Aid Office indicating that you are cleared to begin working.

 

Required Payroll Documentation

Identification Documents Required-

If you have not worked at the University of Minnesota, Crookston before under any type of student employment programs, you will need to complete the online I-9 and W-4 process and present original documentation to the Financial Aid Office. The most common forms are the following:

 

Online I-9

I-9 Form for New Employees

Enter Employer name or code field: 13636

Provide the following personal information:

  1. Provide personal information
    • Name
    • Address
    • Date of birth
    • Social Security Number - name on the card must match name entered in the name field above
    • Start date - must provide identification documentation within 3 days of start date
    • University location is: UMC ENROLLMENT MANAGEMENT
  2. Select citizenship status
  3. Sign electronically
  4. Logout - clears your information from browser

 

W-4

Once you've been hired, you can updated your W-4 information under MyU > My Pay

Complete the form by clicking on W-4 Tax Information and update as needed.

Reminder: students filing “exempt” from taxes must file a new W-4 in January each year.

 

Student Timesheet

To enter your hours daily, please go to the Student Timesheet under MyU > My Time > Submit Timesheet

Student Employees who submit timecards must complete the Time Reporting course (5 minutes) located under "Human Resource Systems". 

Direct Deposit

We strongly encourage you to set up direct deposit for your paycheck. If you do not set up direct deposit, your check will be mailed to your home address.
